Where you engage us for a programme, we may also receive documentary information about deceased persons and their estates as part of the work we are asked to support.

Enquiry information is retained for up to twelve months from the date of enquiry if no programme engagement follows. Programme-related records are retained for five years from the close of the programme for legal and administrative purposes. Documentary information you share with us during a programme is not retained after the programme concludes without your written agreement.

• With translation coordinators, where translation is included in your programme scope — limited to the documents requiring translation
• With attestation services, where attestation is included in your scope

Any third party engaged on your behalf is required to handle your information with the same discretion we apply.

We apply reasonable technical and organisational measures to protect personal information from unauthorised access, loss or disclosure. Digital records are stored on password-protected systems. Physical documents are stored securely during the programme period. In the event of a breach that affects your personal information, we will notify you as required under the PDPA.

8. Your Rights Under the PDPA

Under the Personal Data Protection Act 2010 (Malaysia), you have the right to:

• Access the personal information we hold about you
• Correct inaccurate personal information
• Withdraw consent to processing (subject to legal or contractual obligations)
• Request that we cease processing your data for direct marketing purposes
• Lodge a complaint with the Department of Personal Data Protection (JPDP) Malaysia
